Lesson 2 of 5 · 14 min · Checked on 16 October 2026
Online bookings and appointments
By the end of this lesson you will be able to:
- Decide whether your business already needs a booking system or whether the phone is enough
- Tell apart a service appointment, an accommodation booking and a table booking
- Set up a single calendar with confirmation, reminder and a cancellation policy
- Test the whole circuit as if you were a customer
The August double booking
Rui runs a three-room guesthouse in Velas. Bookings arrive by phone, by WhatsApp messages and through two accommodation platforms. Each channel has its own list, written in a different place: the notebook beside the phone, WhatsApp itself, and the platforms' dashboards.
In August, a couple booked room 2 by phone. The same day, another couple booked the same room, for the same dates, through a platform. Rui only noticed when both arrived. He had to apologise, find another place for one of them and pay the difference.
The problem was not too much work. It was that there was no single place where everything lived.
Do I really need a system?
Not every business does. A simple test:
- Phone and WhatsApp are enough if you have few bookings a week, you always answer and you have never missed one.
- A system pays off if you go past about five bookings a week, if you lose requests outside opening hours, or if there has already been a double booking, even just once.
Even without a system, the golden rule stays: one calendar.
Three kinds of booking
Service appointment (hairdresser, clinic, workshop). The customer picks a free slot in a calendar. There are scheduling tools such as Calendly or Zcal, and Google Calendar itself has booking pages on some accounts. Look in the tools you already use for an option with a name like "appointment scheduling" or "bookings".
Accommodation booking (Rui's case). What matters is the busy dates. Many platforms let you export and import a calendar in the iCal format: your calendar shows their bookings, and they see yours. Anyone with many units or many channels uses a channel manager, which does this automatically. Check in each platform's settings whether there is an option to share the calendar.
Table booking (restaurant, café). There are dedicated systems. At the start, a simple form that reaches you by email, with the confirmation done by a person, already does the job.
Tip
Before choosing a tool, write one line about what you need: "I want the customer to pick a free slot and receive a confirmation by email." A tool that does not do this is no good, however pretty. For reference prices, see the Current state page.
The five rules of a good calendar
- One calendar. Everything that comes in through any channel is entered in the same calendar, on the same day. If someone books by phone, you put it in straight away.
- Automatic confirmation. The customer gets an email or text at once with the day, time, address and how to cancel.
- Reminder 24 hours before. It cuts no-shows a lot, and costs you no work once set up.
- A written cancellation policy. Two or three lines: until when one can cancel, what happens if someone does not show up. Put it in the confirmation and on the website.
- Only the data you need. Name, phone and email. No card details by message, and nothing you will not use.
Tip
Put the "Book" button in three places: on the website, on your Google listing (the lesson on showing up on Google and on maps explains the listing) and in your social media bio. Someone who has decided to book should not have to hunt for how.
Watch out
A booking collects personal data: name, phone, email. That is covered by the GDPR. Say on your website what you use it for (booking and contacting the customer) and who else sees it (the calendar tool, for example). The lesson on legal obligations in Portugal explains the privacy policy. This is not legal advice: check with your accountant or a lawyer.
Test it as a customer
The part almost everyone skips: make a real booking, from a phone, as if you were a customer who has never seen your website. If you cannot do it in two minutes, your customers cannot either.
Check three things: the booking appears in your calendar, the test customer receives the confirmation, and the taken slot stops being available.
Tip
Use a relative's email or a second email of your own as the test customer. If the confirmation lands in spam, it is a sign that you should ask customers to add your address to their contacts.
Exercise
How I know it worked a test booking made from the phone appears in the single calendar and the test customer received the confirmation.
If it didn't work
- The test booking does not show in the calendar? Check that the tool is linked to the right calendar (you may have more than one) and that the slot you picked is within the ones you opened.
- No confirmation arrived? Look in spam and check the test customer's email. Also check that the confirmation is switched on in the settings.
- Can't find the option to share the calendar with the platforms? Look for a button with a name like "sync calendar" or "export calendar", or ask the platform's support. This is how it looks on 16 October 2026; if the screen is different, look for the button with the same name.
- The "Book" button does not appear on the Google listing? Not every listing and country shows that option. Put the calendar link in the website field or in the description.
